Role Description

This is a full-time on-site role as a Purchasing Assistant - Travel Bookings. He/She is responsible for handling travel arrangements, booking flights and accommodations, preparing expense reports, and monitoring travel itinerary changes as needed. Process the assigned Travel Request Form (TRF) / E-tickets / Hotel Voucher within the time stated in the Service Level Agreement (SLA)


KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES

  • Review Travel Request Form (TRF) received and ensure that all information needed in booking the flight is indicated
  • Sends email of flight itinerary to requestor/traveler which is economical yet nearest to the requested time, for confirmation to proceed with ticket issuance.
  • Creates e-ticket for direct airline with corporate account
  • Sends out confirmed e-tickets and hotel voucher to requestor/traveler
  • Prepares tabulation sheet for approval of Non OSM Head
  • Process visa requirement whenever applicable


PAYMENT PROCESSING

  • Transmit Billing Invoice/Statement of Accounts to requestors for creation of Request for Payment
  • Pick up checks at Treasury for direct airline payments to be deposited to their nominated bank
  • Follow up payment and advise supplier of checks available for release


MONITORING REPORT

  • Updates travel monitoring report


Qualifications

  • Bachelor's degree in Business Administration, Travel Management, or any relevant field
  • At least 2 years of experience in handling travel bookings, expense reports, and itinerary changes
