SPECIFIC DUTIES & RESPONSIBILITIES:
The following are specific tasks, duties, and responsibilities assigned to the “Executive” in MHR-MANCD:
1. Follow instructions from the Manager, DGM, or GM.
2. Assist the Training Manager(s) in researching and updating NYK Special Lectures, Cadets’ Pre-Joining Familiarization (NMC-98), NYK Cadet Training Handouts, and the NYK Handbook.
3. Assist the Training Manager(s) in updating the Instructor’s Training Familiarization (NMC-94).
4. Prepare data analysis, graphs, and PowerPoint presentations on cadets’ assessment tests, performance evaluations, retention rates, promotion rates, and KPIs.
5. Prepare visual data presentations for various institutes, NYKSM, and NYK Line after collecting data related to cadets’ training progress.
6. Analyze Cadetstars export data and prepare corresponding graphs and PowerPoint presentations.
7. Provide vessels with monthly Cadetstars Status Reports and notify the Training Manager(s) of any issues or unsatisfactory reports on tasks, sea projects, or tests.
8. Prepare the annual instructors' rotation plan in coordination with local manning offices.
9. Prepare a 5-year Cadet Training Ship rotation plan.
10. Plan cadets’ Training Ship assignments and coordinate their sign-on/sign-off arrangements.
11. Assist with CTI and Galley personnel’s sign-on/sign-off on training ships. Act as a backup for flight bookings.
12. Assist the Training Manager(s) in updating onboard assessment tests and Cadetstars activities to ensure alignment with current industry standards.
13. Ensure the revision log is updated for every revision of tests, Cadetstars activities, training handouts, and NYK Special Lectures.
14. Summarize and provide data analysis from mid-term and final training ship reports.
15. Assist the Training Manager(s) in preparing the NMC cadet budget.
16. Monitor the budget and prepare accruals.
17. Coordinate with the Purchase Department for the supply of stores to cadet training vessels.
18. Act as a backup for regularly updating the “Requisition Status” and onboard stores inventory.
19. Prepare and submit home allotment requests to the Accounts Department.
20. Assist in checking the accuracy of cadets’ monthly portage bills submitted from ships.
21. Coordinate with the Training Manager(s) to prepare annual planning for cadet selection, special lectures, and PJF training, based on cadet nationalities.
22. Assist in finalizing the cadet selection/entrance exam questionnaires and uploading them to SharePoint.
23. Assist and coordinate the arrangement of cadets’ entrance exams and psychometric/medical tests. Analyze test results and prepare final graphs and presentations.
24. Analyze data and prepare reports on cadets’ retention and promotion rates/ratios.
25. Prepare yearly cadets’ onboard assignment / record ship wise in a special format to report to NYK Line/ Asahi/ Hachuima.
26. Assist in facilitating cadets scholarship/ laptop bonus and maintain continuous record.
27. Carry out any other administrative or operational tasks as assigned by the Training Manager(s), DGM, or GM.
Requirements and skills:
Graduate with a Bachelor's Degree in any related field.
Work experience as Human Resource Executive or similar role.
Experience with crewing / manning industry
Has knowledge in IT and logistic arrangements
Proficient in Microsoft office.
Good verbal and written communication skills
