About the Role:

We’re looking for a highly organized and proactive Sales Support Virtual Assistant to provide dedicated inside-sales support for our Engineering Services team. You’ll play a key role in keeping the sales pipeline active by handling outreach, client follow-ups, scheduling, proposal preparation, and CRM management — allowing the Sales Lead to focus on high-value client interactions.


Key Responsibilities:

Pipeline & Outreach

  • Research and build prospect lists; maintain accurate contact information.
  • Execute email and LinkedIn outreach sequences, logging responses in the CRM.
  • Qualify inbound or warm leads using provided discovery scripts.

Scheduling & Coordination

  • Book and confirm meetings, manage reschedules, and send calendar invites.
  • Prepare concise call briefs summarizing company details, touchpoints, and next steps.

Call Support & Documentation

  • Attend select client calls for structured note-taking (live or via recordings).
  • Produce clear, actionable summaries and trackers using internal templates.

Proposals & Sales Collateral

  • Draft and format proposals or Statements of Work (SOWs) using templates.
  • Prepare follow-up decks, one-pagers, and recap emails post-meeting.

CRM & Reporting

  • Maintain clean CRM data on opportunities, activities, and contacts.
  • Generate weekly pipeline, activity, and follow-up reports.
  • Track SLAs to ensure timely communication and response management.

Inbox & Admin Support

  • Manage and organize the sales inbox; tag, route, and draft replies for review.
  • Maintain digital folders for proposals, assets, and client documents.

Confidentiality & Compliance

  • Adhere to company data security and confidentiality policies at all times.
  • Use only approved communication and record-keeping tools.

Qualifications:

  • 2+ years of experience as a Sales VA, SDR, Account Coordinator, or Executive Assistant (sales-focused).
  • Excellent written and spoken English; comfortable in client-facing conversations.
  • Strong organization, attention to detail, and note-taking accuracy.
  • Proficient in CRM platforms (e.g., HubSpot, Pipedrive, or similar).


Nice to Have:

  • Experience in engineering, AEC, or technical/professional services.
  • Familiarity with Teams, Fathom, or other call recording tools.
  • Intermediate Excel/Google Sheets and presentation skills.


Tools & Environment:

  • Primary: Microsoft Teams, Odoo CRM
  • Supporting: Google Workspace / Microsoft 365, LinkedIn Sales Navigator
  • Security: Company email, password manager, VPN
