About the role



We have an exciting opportunity for an experienced Administrative Officer to join our dynamic team at A. Menarini Philippines Inc.'. As an HROD Officer, you will have office management responsibility providing full range of administrative and clerical support to the HROD team of Menarini.  This position will have access to confidential information such as business information, employer-employee relations, policy matters, programs, employee files, budget monitoring, etc. This position will also handle coordination functions both internally and externally.

What you'll be doing

  • Administrative Support for HROD Director, such as consolidating of HR Reports (HR Analytics, HR Calaendar) in a timely manner and preparation of travel arrangements, expense reports, other filing requirements
  • Other Secretarial and Administrative Support to the HROD Department: Provides full range of administrative and clerical support to the HROD Department such as: answering calls, handle inquiries; monitor Team Schedule; schedule appointments and maintain calendar of activities; arrange meetings and make travel arrangements; prepares expense liquidation reports, handle confidential files; and gathers information to prepare reports and conducts basic analysis.
  • Directly involved in preparation of logistical requirements of the HROD Department, preparation of PR/PO, meeting arrangements, HR Document routing and monitoring, and 3rd party supplier coordination.Provides necessary assistance to HROD Key Positions as far as securing needed documents, signatures and other needed information/support from the HROD Department.
  • Responsible for HROD Department’s records management and archiving of important documents including policies, contracts, released communications and announcements and HR related manuals and reports.
  • Assist the day-to-day operations of the departments to support the different functions within the unit
  • Recruitment: Proper filing of all active file candidates per key position; help in scheduling and calling applicants; completion of pre-employment requirements.
  • Training & OD and Sales Training: Helps in logistics requirements such as arrangement for venue and food; preparation of training manuals, assist in monitoring M3 Awards claims and encoding of feedback for programs for proper documentation and reporting
  • Total Rewards: Help in employee file update; distribution of necessary documents.
  • System: Verification and checking of SAP requests of the department in a timely manner and creation and monitoring of PR/PO in AXAPTA in a timely manner

What we're looking for

  • At least 2-3 years of experience in a similar administrative role, preferably in the pharmaceutical or healthcare industry
  • Strong organisational and time management skills, with the ability to prioritise tasks and work under pressure
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with staff at all levels
  • Proficiency in using in Google Suite (Gmail, Calendar, Google Docs, Sheets, Slide) and Microsoft Office suite (Word, Excel, PowerPoint)
  • A proactive, adaptable, and detail-oriented approach to work
  • A commitment to providing excellent customer service and maintaining confidentiality
