About the Role

Location: Ermita, Manila

Role Type: Full-time (Onsite)

Department: HR - Employee Support Services

Reporting to: Assistant Manager - ESS


The HR ESS - Specialist manages regulatory and compliance requirements for fleet and facility operations, including vehicle registrations, CPCs, business permits, and facility-related permits (FSEC, Mechanical, Electrical, Electronics). Also provides administrative support for truck incidents, fuel transactions, and delivery truck requests, ensuring timely coordination with internal teams and government agencies.


Other requirements include the following:

  • Process the registration, application, and renewal of Business Permits for the Main Office, Warehouse, and the Company’s Fleet of Trucks, as well as facility-related permits including Fire Safety Evaluation Clearance (FSEC), Mechanical, Electrical, and Electronics permits.
  • Provides assistance in managing vehicle license violations and support in handling vehicular accident-related concerns
  • Manages vehicles designated for sale, coordinates with buyers and relevant stakeholders, and prepare all necessary documentation to record asset sales.
  • Handles fuel transaction concerns by coordinating with fuel providers as needed, and process requests for delivery truck fleet card applications or updates.
  • Maintains accurate records of all permits, certifications, and related compliance documents. Tracks expiration dates and ensures timely renewals to prevent compliance lapses.


To succeed and grow in this role, you will be required to meet the following qualifications:

  • Bachelor's Degree in Business Administration/Management or any related degree
  • At least two (2) years of relevant experience in administrative, fleet, or compliance-related roles.
  • Customer orientation to provide efficient and effective quality service to internal and external customers.
  • Interpersonal Skills to foster positive work relationships with local government units and stakeholders.
  • Analytical Skills to identify trends, potential issues or opportunities for improvement from data and experience.
  • Problem Solving Skills to accurately diagnose issues and provide quick resolutions.
  • Communication/Negotiation skills to engage in discussions and work towards a win-win solution.
  • Familiarity with legal and compliance to understand contracts, business permits and licenses, and motor vehicle registration.
