Descripción

Project Management

Assisting the President in initiating special projects, assignments in the office and operations in compliance with company rules and regulations.

 

Data Management

· Monitoring lease Contracts and Rentals

· All company Insurance

· Utility Payments

· Memorandum

· Other correspondence related to all office departments in compliance with company regulations.

 

Executive Administrative Support

Perform administrative support functions such as:

· Check/filter all the documents to be submitted/for signature of the President

· Consolidate all the department reports prior to submission to the President

· Email correspondence to the malls

· Prepare Memoranda and distribute to concerned departments

· Monitoring Preventive Maintenance of the following:

- Company Vehicles

- Head Office and Store Equipment/Machine

- Head Office and Store Aircons

- Head Office and Store Pest Control

 

Office Management

Supervise and monitoring the office.

· Consolidation report of inventory of office supplies (c/o Admin)

· Maintenance of Office Equipment

· Responsible for maintaining cleanliness of the Head Office and Scheduling the store cleanliness.

 

Operations

· Assisting the Ops department to determine plan and direct work flow and ensure adherence to quality standards.

· Analyze work flow issues and recommendations and implement workable solutions

· Creating Ops Reports

· Break even Reports

· Sales Quota


Asset Management

· Responsible for maintaining , monitoring and safekeeping documents related to the asset of the company. Ensure that all the company assets is being accounted.

· Prepares documents/payments for car loan.

· Process/negotiation of vehicle/store insurance

· Purchase/selling of cars and motorcycle

· Monitoring of files, records and equipment


Company Insurances

· Monitoring of company insurances such as :

- Store Insurances

- Company vehicles


Phone/Internet Accounts

· Monitoring of lines; Globe,Smart,PLDT and Converge.


Company Structure

· Writes directives advising department managers of Company policy regarding equal employment opportunities, compensation and employee benefits.


HR/Training

· Provide necessary training related to office management

· Check on the Payroll/Analysis to prior approval by the President

· Assist or initiate the planning of events and volunteer activities, corporate social responsibilities.


Others

· Schedule and prioritize office activities to meet operating requirements.

· Check weekly promo

· People Assessment

Requisito

· Bachelor degree in Business Administration or equivalent

· knowledge and working experience of supervisory principles and practices

· knowledge of administrative practices and procedures, data management methods, basic accounting practices and human resources practices

· proficient computer skills

· working knowledge of relevant software programs
