Descripción

The Front Desk & Administrative Assistant serves as the first point of contact for visitors, clients, and stakeholders, ensuring a professional and welcoming experience. This role is responsible for managing reception operations, handling communications, and providing administrative support across various departments to ensure smooth day-to-day operations.


  • Act as the company’s frontliner, greeting and welcoming visitors in a professional and friendly manner.
  • Manage incoming calls, redirecting them to the appropriate personnel or department.
  • Keep accurate records of visitors, appointments, and other relevant information.
  • Maintain a tidy and organized reception area.
  • Handle incoming and outgoing mail and packages.
  • Provide administrative support to various departments as needed.
  • Manage and schedule appointments, meetings, and conference rooms.
  • Distribute internal and external communications in a timely manner.
  • Assist in organizing and coordinating events or company functions.
  • Monitor and maintain office supplies; place orders when necessary.
  • Maintain and update contact lists, employee directories, and client databases.
  • Assist in data entry, record-keeping, and filing tasks.
  • Ensure confidentiality and security of sensitive company information.
  • Relay messages and information accurately and promptly.
  • Respond to inquiries and provide information in a clear and professional manner.
  • Assist in the onboarding process of new employees.
  • Maintain a regular posting schedule for the company’s Facebook/social media pages, ensuring content is updated and engaging.
  • Perform other related duties as may be assigned from time to time.

Requisito

  • Bachelor’s degree or diploma in Business Administration, Office Management, or related field (preferred but not required).
  • Proven experience in reception, administrative, or customer service roles is an advantage.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with keen attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic social media management.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Professional appearance and demeanor.
  • Strong sense of responsibility and discretion when handling confidential information.
